Responsibilities
Main Duties
* To Effectively provide administrative support to ensure efficient operation in the organisation
* To work independently within its designated functions
* Act as the point of contract between the department and internal/external contacts
* Create meeting agendas, take minutes, and record summaries of actions to be taken
* Compose correspondence, proofread documents for accuracy and completeness and follow up on actions
* Complete petty cash, reimbursement, and requisitions forms
* Assist in all aspects of event planning
* Coordinate projects and spreadsheets with precise attention to details
* Ensures strict confidentiality, discretion, and professionalism at all times.
* Contributes to team effort by accomplishing related results as needed.
* Arrange for meetings as instructed. Include arranging conferences, visual aids and refreshments. May attend meetings to take minutes.
* Assist with tasks assigned as and when required by the management team.
Specific Duties
* Manage diaries of team members, schedule internal and external meetings
* Assist in planning itineraries, including booking travel and accommodation
* File correspondence and other records related to the activities of the Division. Maintain and update files. Establish and improve own filing system. Raise and requisitions, maintain and distribute office stationery and supplies.
* Receive, sort and distribute all incoming mail. Prepare outgoing mail for dispatch. Maintain a proper register for incoming/outgoing mail. Ensure direct delivery of confidential material/mail.
